PII redaction: combine matching with contextual review

Personal information is not limited to a fixed list of number formats. A document can identify someone directly, or through several ordinary details considered together.

Start with direct identifiers

Contact details and identification numbers often follow recognizable patterns. CloakDoc can match selected email, telephone, SSN, PAN, Aadhaar-like and card-number formats. These are candidate matches, not a verification that an identifier is valid or belongs to a particular person.

Look for indirect identification

A unique role, precise date or small location can reveal the subject even after a contact field is removed. For example, an incident description naming a single specialist on a specific shift may identify that person without using their name.

Decide which context the recipient needs. Pattern matching cannot make that judgment and should not be used to claim that a document is fully anonymized.

Test omissions and overmatching

Use synthetic examples for the identifier formats you expect. Include punctuation, line breaks and lookalike business references. On scans, inspect characters that OCR can confuse. Review false positives as well as missed values so that the output remains useful.

Handle other formats separately

Faces, signatures and audio recordings need suitable tools. A redacted PDF transcript does not alter its source recording. CloakDoc’s manual visual boxes also leave underlying PDF content, so they are not a removal method for an unrecognized name.

Assess the release copy

After batch processing, inspect the exported pages, properties and filename. Compare them with the disclosure purpose. Record what could not be verified and obtain an appropriate review decision. A report or match count is evidence of a processing step, not evidence of anonymity.
