Reduce identifying information without overlooking context
Removing a name or an account number may reduce exposure, but a document can still identify someone through their role, dates, location or a distinctive event.
Redaction is one step
CloakDoc helps remove supported identifier patterns from PDF distribution copies. It does not certify that the remaining content is anonymous. Its pattern rules do not understand a person’s full history or determine whether several details together identify them.
Review direct and indirect identifiers
- Direct identifiers: contact details, account references and identification numbers.
- Contextual clues: precise dates, job titles, rare events and small groups.
- Visual clues: signatures, faces, badges and screenshots.
- File context: metadata, filenames, related attachments and earlier versions.
Use a purpose-based release process
First decide what the recipient needs. Remove unnecessary pages or information in a suitable workflow, then apply the selected matching rules. Have a reviewer compare the output with the intended disclosure rules. Record unresolved issues instead of interpreting zero matches as success.
Protect every version
Local processing avoids sending document contents to a remote redaction service, but exported files and retained originals remain on your device. Restrict access and clear working copies according to your own policy. A processing report records activity, not a legal conclusion about anonymity.
