Remove sensitive information before sharing files with AI tools
An AI summary or analysis task rarely needs every identifier in a source file. Prepare a separate, reviewed copy with only the information needed for the task before deciding whether to share it with an AI service.
Start with the task, then reduce the input
For a question about a contract clause, an approved excerpt may be enough. For testing a data-analysis prompt, a synthetic sample may work better than customer records. Check your organization's sharing rules and the destination service's settings before uploading.
Look for direct identifiers and revealing context
Review names, contact details, account references, credentials and confidential business terms. Removing an email address does not anonymize a paragraph that identifies someone by job title, location and a rare event. Check filenames, metadata, tables, notes and visible images too.
Prepare a PDF with local redaction
In CloakDoc, use manual redaction to select visible sensitive regions, or batch redaction for supported identifier patterns. Both paid workflows rebuild output pages as images with selected or detected regions covered. Automatic detection is a starting point for review and can miss sensitive content.
Image-based output loses the original text layer. An AI service may OCR the remaining page images, so everything still visible should be considered disclosed. Do not supply the source PDF alongside the redacted copy.
Prepare a dataset with consistent masking
For CSV or Excel data, CloakData in the paid Windows app can keep, tokenize or redact selected fields. Related keys can share a relationship group so a customer table and an orders table remain joinable after masking. Review free-text fields separately; replacing a customer ID does not remove a name written in a notes column.
Use a release checklist
- Confirm that the recipient and purpose are permitted.
- Remove fields and pages that the task does not need.
- Inspect the exported file, including information left unchanged.
- Check that the prompt itself does not reintroduce removed details.
- Share only the reviewed copy and handle retained local copies deliberately.
This is file preparation, not a live AI prompt filter or a guarantee of anonymity. CloakDoc does not control what another service does with a file after you upload it.
